We process personal data only where there is a valid legal basis:
- Performance of the contract: to process orders, confirm payments, dispatch products, handle returns and provide customer service.
- Legal obligation: for our financial administration, tax obligations, consumer rights and handling statutory requests.

SHOPIFY AND OTHER SERVICE PROVIDERS
Our store is hosted by Shopify. Shopify processes data to operate the store, checkout, customer accounts, forms and other store features. Further information is available in Shopify’s privacy policy.
To provide our services, we may share data with:
- Shopify and the Shopify apps we use, including Shopify Forms;
- payment service providers offered at checkout, such as Shopify Payments, PayPal and Klarna;
- PostNL and other delivery or returns partners;
- suppliers or fulfilment partners, only when necessary to fulfil an order;
- email, hosting, accounting and technical service providers;
- Google and Meta for analytics or advertising, but only insofar as the required cookie consent has been given;
- professional advisers, regulators or public authorities when legally necessary.
We do not sell your personal data. Service providers may use personal data only for the agreed services or for their own processing where they are independently responsible for it.
CUSTOMER REVIEWS.
We use WebwinkelKeur to collect and manage customer reviews. To invite you by email to leave a review after an order, we share your name, email address and order number with WebwinkelKeur. These details are used to send and manage the invitation and verify the associated customer experience.
Writing a review is voluntary. If you do not wish to receive review invitations from SJELF., please let us know at hello@sjelfmusic.nl.
If you write a review, WebwinkelKeur processes, among other things, your name, email address, IP address and review text. Your review and the name displayed with it are published publicly. WebwinkelKeur may contact you for clarification or verification. We may use the review to respond to your experience and improve our service.
According to WebwinkelKeur’s user terms, data for review invitations is retained for three years. Published reviews remain visible until removed; you can edit or delete your own review.
More information about how your data is processed and your rights is available in WebwinkelKeur’s user terms:

COOKIES AND ANALYTICS
We use necessary cookies to operate the store, cart, checkout, security and cookie preferences. Analytics and marketing cookies are placed only when consent is required and has been obtained.
You can make and subsequently change your choice through the cookie banner or privacy preferences on our website. Withdrawing consent does not affect cookies strictly necessary for the store to function.
EMAIL MARKETING
We send marketing messages only where legally permitted. Where we request consent, the choice is voluntary and the checkbox is not preselected. You can unsubscribe at any time using the link in each marketing email or by contacting us. Unsubscribing does not affect necessary communications about an order, return or account.
RETENTION PERIODS
We retain personal data no longer than necessary. In principle, we apply the following periods:
- order, invoice and payment records: 7 years, or 10 years where a longer tax retention obligation, such as EU OSS recordkeeping, applies to a transaction;
- questions and general enquiries: up to 2 years after they have been fully resolved;
- returns, complaints and warranty data: for as long as necessary to handle the matter and any statutory claims;
- photographs submitted with an issue: up to 6 months after the issue is resolved, unless required for an ongoing dispute;
- THE SJELF 100 voting data: as long as needed to compile the relevant list and up to 12 months after publication of that edition;
- customer account data: while the account is active; after deletion, we retain only data still required by law or for an ongoing order;
- email marketing: until you unsubscribe. Evidence of consent or unsubscribing may be retained longer where necessary to comply with legal obligations;
- security and technical logs: generally up to 12 months, unless an incident or legal obligation requires longer retention.
INTERNATIONAL TRANSFERS
Some service providers, including Shopify, Google and Meta, may process personal data outside the European Economic Area. Where this happens, we use a legally permitted transfer mechanism, such as an adequacy decision or approved standard contractual clauses.
SECURITY
We take appropriate technical and organisational measures to protect personal data. No method is entirely without risk. Please do not include unnecessary sensitive information in free-text fields and use only the secure checkout for payment details.
YOUR PRIVACY RIGHTS
Depending on the circumstances, you have the right to:
- request access to your personal data;
- have inaccurate data corrected;
- have data erased;
- have processing restricted;
- object to processing based on legitimate interests or to direct marketing;
- receive data in a portable format;
- withdraw previously given consent.
Send your request to hello@sjelfmusic.nl. We may request additional information to verify your identity. We generally respond within one month. Where legally permitted, this period may be extended; we will inform you in good time.
If you are dissatisfied with how we handle your data, please contact us first. You also have the right to complain to the Dutch Data Protection Authority.
AUTOMATED DECISION-MAKING
SJELF. does not make solely automated decisions that have legal or similarly significant effects on you. Product recommendations or personalised advertisements are not such decisions.
CHILDREN
Our services are not specifically directed at children under 16. We do not knowingly collect children’s personal data without valid consent. Please contact us if you believe this has happened.
CHANGES
